Hand Over Care Instructions for the Installed Repair, Not Just a Brochure

A generic product brochure may describe many uses without telling the site team how to care for its actual repaired area. At closeout, connect the applicable instructions to the installed system, location and project-specific release. Keep the handoff useful without adding a warranty promise that the contract never made.

Identify what was actually installed

Use the accepted project record to name the system and affected area. Distinguish the installed selection from options considered earlier. A superseded technical sheet or a similar product’s brochure should not become the maintenance instruction merely because it is easy to find. Keep the relevant document identity and revision with the handoff.

Separate release, care and warranty

Return-to-use instructions explain the applicable initial restrictions. Maintenance information addresses later routine care. Warranty documents have their own scope and conditions. Present these as related documents with different purposes, rather than combining them into a broad assurance of performance. Where an instruction is unclear or conflicts with another project document, refer the question to the responsible reviewer before inventing a resolution.

Reach the people who maintain the area

Ask the authorized site contact who needs the instructions, such as facilities or cleaning personnel. Use the project’s normal communication process and retain the handoff reference. If operations or cleaning products later change, the responsible team can review the implications against the actual system. A signed receipt can document delivery, but it should not be described as proving every future user read the material or waiving unrelated rights.

Worked example

Illustrative example: a fictional crew completes a floor repair and finds two product brochures in the project folder. The handoff identifies the installed selection and applicable care information. The cleaning supervisor receives the relevant instructions without being told that accepting a brochure creates an expanded warranty or blanket waiver.
