Check Provider Identity Across the Proposal and Supporting Documents
A project packet may contain a proposal, an invoice and supporting business documents with different names or dates. Clarify those differences before the documents are relied upon for a specific project. This is a practical identity check, not an interpretation of insurance coverage, licensing law or the legal responsibility of a network.
Compare the named parties
Identify the contracting company on the actual proposal and compare it with the issuer or named entity on supporting records. A trade name may need an explanation, and a similarly named business may be a different party. Do not assume a logo or directory listing resolves the relationship. Ask the provider for an understandable confirmation through its existing business contact.
Check relevance without inventing approval
Record the document’s date, stated purpose and any project-specific reference. Where the owner requires a particular record, ask the appropriate professional or issuing party about its sufficiency. A certificate or registration image should not be represented as proof of every possible obligation. Avoid publishing private supporting records or circulating unnecessary personal identifiers as part of a general network discussion.
Resolve the discrepancy before reliance
Retain the provider’s written explanation and any corrected document with the current proposal. If the issue remains unresolved, mark it pending and direct the decision to the owner’s appropriate advisor. Do not alter the original document yourself or remove a limitation to make the names align. The goal is a traceable project packet in which the reader can identify who is offering the work and what each source actually states.
Copyable worksheet
Use one row for each field. Mark unknown information clearly and retain the original records.

Worked example
Illustrative example: a property owner receives a proposal under one business name and a supporting record under another. The partner obtains an explanation of the relationship and an appropriate updated record where needed. The packet retains both sources and the clarification. No one edits the certificate or describes the identity check as a legal opinion about coverage.
