One Shared Work Zone Needs a Named Coordination Lead
When several trades need the same entry, loading area or service corridor, individual work plans can conflict. Before mobilization, identify who coordinates the shared space and how changes reach every affected team. A repair crew’s arrival time does not establish that the zone is available.
List the activities competing for the area
Identify the repair work, deliveries, ongoing operations and other scheduled trades that use the space. Separate confirmed activities from provisional dates. Ask who can authorize restrictions and whose work may change the sequence. Do not presume that one contractor controls the site simply because that contractor’s task begins first.
Assign the coordination function explicitly
Name the person responsible for collecting updates and resolving conflicts through the project’s existing authority. Clarify how the crew receives the current sequence and how an unexpected condition is escalated. EPA’s building guidance distinguishes construction and operations roles; coordinating those roles is not the same as transferring their contractual responsibilities to one repair contractor.
Keep the daily plan usable
Use a dated current plan with the affected area, prerequisites and contact route. Retain superseded plans for the project record while keeping crews from working from conflicting copies. If an agreed prerequisite is missing, use the established stop-and-clarify process rather than improvising a new arrangement. The plan supports coordination; it is not a substitute for required safety controls or specialist approval.
Copyable worksheet
Use one row for each field. Mark unknown information clearly and retain the original records.

Worked example
Illustrative example: a fictional repair crew and a delivery contractor are assigned the same loading space. The site names a coordination lead and issues one dated sequence. If the delivery shifts, the repair crew receives the revised plan before arrival instead of assuming that its old appointment still controls the space.
